With deep leasing expertise from years as Master Consultants for the Half-A-Car (HAC) Group, our team understands the full leasing cycle from start to renewal. The Lease Renewal Event is the final link in that cycle, the part where you retain a customer, deepen the relationship, and generate new business from a lease that was always meant to bring them back.
Overview
Our Automotive Lease Renewal Events are designed to deliver a strong return on investment while leaving your team with a repeatable process for future success. Like our Private Sales, these events don’t rely on advertising. Instead, we focus entirely on reaching your own customer base, clients whose leases are coming due in the next few months.
We bring clarity and order to what can otherwise be a chaotic, unstructured process. With the right timing, message, and training, lease renewals become one of your most consistent and profitable sales channels.
Targeting the Right Clients
Before your event begins, we work closely with your team to map out the ideal lease return window. Using sample deal reviews and historical data, we determine how far out we can invite clients while still making the math work.
The goal? Convert at least 50% of scheduled appointments into renewed leases or new deliveries.
Direct Mail That Gets Noticed
Our mail strategy is purpose-built for lease retention. Each invitation is designed to stand out printed in full colour, personalized with client names, and often packaged to resemble a formal invitation. We use high-quality stock and hand-addressed, hand-stamped envelopes to ensure the piece gets opened.
The outside includes a rendering of their current vehicle make and model, instantly tying the message to their ownership experience.
Appointment Setting That Works
We know that follow-up calls make or break your show rate. Our team can train your staff to do it effectively, or you can outsource the appointment setting to our in-house Call Centre.
Why does it matter? People who have access to numbers and deal information often get drawn into over-the-phone negotiations. We’ve learned that appointment setting is more successful when handled by someone who doesn’t sell. Their job is simple: book the time, ensure all decision-makers are present, and set expectations for a 60- to 90-minute review.
Onsite Training That Prepares Your Team
The first day begins with a Dealer Meeting, a Manager Meeting, and two team training sessions. This ensures everyone knows what’s coming, what’s expected, and how to deliver a consistent customer experience.
We focus heavily on breaking bad habits and guiding the team through our renewal strategy step by step. If your store is large enough, our Senior Consultant can run Option Reviews directly with clients. Alternatively, we can train one or more of your own staff to handle it.
Renewal Appointment Experience
Every client follows a structured path:
- We begin by walking out to their current vehicle.
- Then we review and update their client file.
- Next, we revisit the options they considered when they originally leased.
- We show how those options played out, followed by what keeping their vehicle would cost today.
- Finally, we transition to a trial close and hand off to the Sales Consultant.
This isn’t just a sales pitch, it’s a guided ownership review that builds trust and leads to higher conversions.
The Event Day Itself
Your Lease Renewal Event typically runs from 10 a.m. to 8 p.m. Appointment slots are scheduled every 30 minutes to ensure continuous, manageable flow. The number of event days will depend on the size of your lease portfolio.
We recommend creating a showroom environment that feels welcoming and event-worthy, complete with food and refreshments to keep energy high.
At the end of the event, your team will either be delivering vehicles or executing structured follow-up plans, no missed opportunities, no guesswork.
